This data privacy guide explains the most important aspects of how we process your data on our website.

Contacting us via e-mail and the contact form

If you contact us via the form on our website or by e-mail, the data you provide will be stored for six months for the purposes of processing your query and in case of follow-up questions. We will not pass this data on without your consent.

Data sent to us and stored on our systems

Every time you access our website, your browser automatically sends the data listed below to our web server. The data are stored solely for statistical and technological purposes, such as for evaluating the frequency of visits to the site or to identify disruption to the server.

The following data are logged and evaluated:

  • Request (name of the requested file)
  • Browser type and version
  • Operating system used
  • Referrer URL, i.e. the website via which you came to our website
  • IP address
  • Date and time of your visit
  • The sites you visited within our website
  • Any content you enter in forms

Other personal data, such as name, address, e-mail address, date of birth or specific case data, are only collected if you enter them yourself, such as in a contact form or when subscribing to our newsletter.

How we use your personal data

The personal data you send to us will only be used to respond to your query, to fulfil contracts we have agreed with you, or for technical administration.

If you have given us your consent for your personal data to be processed, they will only be processed in accordance with the purposes stated in the declaration of consent and in the agreed scope. This means that you will only receive promotional material or e-mail newsletter if you have given us your consent to this. Once you have given us your consent, you can withdraw it at any time with effect for the future at no cost: you can use the Unsubscribe link in the electronic newsletter, or you can send us an e-mail or telephone us using the contact details provided.

Only the MEINRAD departments/staff who require your data in order to fulfil our contractual, legal and supervisory obligations and to pursue our legitimate interests will have access to your data. Storing e-mail communications data

To keep our IT systems safe and to detect malware, we store e-mail log data. When you send an e-mail to one of our e-mail addresses, the following data are logged: e-mail and IP address of recipient and sender, number of recipients, subject, date and time of receipt on the server, names of any files attached, size of message, risk classification for spam and delivery status. Initially, all e-mails are checked automatically. Only if we have reason to suspect a risk to the security of our IT systems will individual e-mails be checked manually by our IT staff.

If required, we process the personal data you provide to us via e-mails for the duration of the business initiation process and beyond, in accordance with the legal retention and documentation obligations.

Application data sent to us

By sending us your application documents, you give your consent for MEINRAD to process personal data such as name, title, address, telephone number, date of birth, education, professional experience and expected salary, as well as other data and images contained in your covering letter, CV, certificates or other documents you send us, for the purpose of answering your query or processing your application.

If MEINRAD enters into a contract of employment with an applicant, the data sent to us are stored for the purpose of administering the employment relationship in accordance with the legal regulations. If we do not enter into a contract of employment with the applicant, the application documents will be erased six months after notice is given that the application was unsuccessful, provided that the applicant has not given their consent for their data to be stored for two years in accordance with Art. 6(1)(a) GDPR. You can withdraw your consent at any time without providing a reason via the contact shown above.

The data are processed on the basis of the legal provisions of Section 96 Para. 3 Austrian Telecommunications Act and of Art. 6(1)(a) (consent) and (b) (necessity for performance of a contract) GDPR.

Social media

Our website uses social media plug-ins and iFrames from the Facebook and LinkedIn social media networks.

As far as possible, we prevent data from being sent to these services. If you are logged in to your Facebook or LinkedIn account when you visit our website, these data will be associated with your account. HubSpot

This website uses a HubSpot tracking code, which uses cookies or similar technology to track users of this website and collect demographic data relating to them. HubSpot tracks the MEINRAD website and the pages you visit within HubSpot. These data are used to offer users tailored content and promotions on the basis of behaviour which suggests that they may be interested in particular topics. More information about the HubSpot privacy policy can be found here.

Cookies

Our website uses cookies, small text files which are stored on your device via your browser. They do not cause any damage.

We use cookies to make our website more user-friendly. Certain cookies remain stored on your device until you delete them; they allow us to recognize your browser when you next visit our website.

If you object to this, you can configure your browser so that it alerts you when cookies are being used and can choose to allow cookies only in individual cases.

Please note that disabling cookies can restrict the functionality of our website.

SSL encryption

For reasons of security and in order to ensure confidential data (e.g. data submitted in queries) can be transmitted securely to us as the site operator, this website uses SSL encryption. There are two ways to tell that the connection is encrypted: the browser address bar switches from “http://” to “https://”, and the lock symbol appears in the address bar. When SSL encryption is enabled, the data you send to us cannot be read by third parties.

Web analytics with Google Analytics

The website uses features provided by the Google Analytics web analytics service. The provider is Google Inc. (“Google”), 1600 Amphitheatre Parkway Mountain View, CA 94043, USA.

Google Analytics uses cookies, which are text files placed on your computer to help the website analyze how users use the site. The information generated by the cookie about your use of the website will usually be transmitted to and stored by Google on servers in the USA.

IP anonymization

We have enabled the IP anonymization feature on this website. This means that, if you access this website within Member States of the European Union or in other States party to the Agreement on the European Economic Area, Google will shorten your IP address before it is transmitted to the USA. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. Google will use this information on behalf of the operator of this website for the purpose of evaluating your use of the website, compiling reports on website activity and providing other services relating to website activity and internet usage. Google will not combine the IP address sent from your browser as a result of the use of Google Analytics with other data.

Browser plug-in

You may prevent the storage of cookies by selecting the appropriate settings on your browser. However, please note that if you do this you may not be able to use the full functionality of this website. You can also prevent Google from collecting and processing the data generated by the cookie relating to your use of the website (including your IP address) by downloading the browser plug-in from https://tools.google.com/dlpage/gaoptout? and installing it.

Demographics and interests data using Google Analytics

This website uses the “Demographics and Interests” feature of Google Analytics, which allows reports to be created containing information about the age, gender and interests of visitors to this website. These data come from interest-based advertising from Google and from third-party visitor data. These data cannot be associated with any individual person. You can disable this feature at any time in the ads settings for your Google account, and you can prevent your data from being collected by Google Analytics by downloading the opt-out browser add-on (see link above).

For more information about how Google Analytics uses user data, see the Google privacy policy: https://support.google.com/analytics/answer/6004245?

Google reCAPTCHA

We use Google reCAPTCHA (hereafter “reCAPTCHA”) on this website. The provider of this service is Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland.

The aim of reCAPTCHA is to determine whether data entered on this website (e.g. in a contact form) has been provided by a person or by an automated program. To do so, reCAPTCHA analyzes various characteristics to assess website visitors’ behaviour. This analysis begins automatically as soon as the visitor accesses this website. For the analysis, reCAPTCHA analyzes various data such as IP address, duration of visit and the user’s mouse movements. The data collected during the analysis are transmitted to Google.

The reCAPTCHA analyses run in the background, and website users are not informed that their behaviour is being analyzed.

The data are processed in accordance with Art. 6(1)(f) GDPR. The website operator has a legitimate interest in protecting their website from fraudulent automated surveillance and from spam.

For more information about Google reCAPTCHA, see the Google privacy policy and the Google terms of service, which can be found at:

https://policies.google.com/privacy? and https://policies.google.com/terms? respectively.
